Consistent patient follow-up is one of the highest-leverage actions an aesthetic clinic can take — for patient satisfaction, for reviews, and for rebooking rates. But in a busy clinic, manual follow-up is inconsistent. These copy-ready message templates give you a starting point for every major procedure, at every key touchpoint, ready to drop into your booking system's automated messaging or send directly.

All templates are written for WhatsApp (conversational length, some emoji). For SMS, trim to under 160 characters per segment — guidance on condensing is provided for each.

How to Use These Templates

  1. Copy the relevant template
  2. Personalise: replace [Name], [Clinic Name], [phone], and [Google review link] with your details
  3. Adjust tone to match your clinic's voice — if you're formal, remove emoji; if casual, keep them
  4. Load into your booking system's automated messaging triggered by appointment type
  5. Monitor reply rates — questions you receive repeatedly indicate gaps to fill in your standard aftercare documentation

Pre-Appointment Messages

Send 1–3 days before the treatment appointment. Goal: reduce no-shows, set pre-care expectations, and reduce day-of questions.

Botox (pre-appointment)

"Hi [Name] 👋 Just a reminder — your Botox appointment at [Clinic Name] is on [date/time]. Quick prep reminders: avoid alcohol for 24 hours before, stop blood-thinning supplements (fish oil, vitamin E) 1 week before if possible, and come with a clean face — no makeup on the treated areas. SMS version (under 160 chars): "Hi [Name], your Botox appt at [Clinic] is [date]. No alcohol 24h before, no blood thinners 1 wk before, come makeup-free. Questions? Call [phone]."

Lip Filler (pre-appointment)

"Hi [Name]! Your lip filler appointment at [Clinic Name] is coming up on [date]. To reduce bruising: avoid aspirin, ibuprofen, fish oil, and alcohol for 24–48 hours beforehand if you can. Come with a lip balm-free face. A little bruising and swelling is normal and temporary — we'll go through everything on the day. See you soon! 💛"

Laser Hair Removal (pre-appointment)

"Hi [Name] 👋 Your laser hair removal at [Clinic Name] is on [date]. Prep checklist: shave the treatment area 24–48 hours before (not wax — never wax before laser), avoid fake tan and real tan for 2+ weeks before, no retinol or AHAs on treated skin for 5–7 days before. Questions? Reply here or call [phone]. Looking forward to seeing you!"

24-Hour Post-Treatment Messages

Send approximately 24 hours after the treatment appointment. Goal: address peak anxiety, confirm what is normal, provide one or two action steps.

Botox (24-hour)

"Hi [Name] 👋 Just checking in after your Botox at [Clinic Name] yesterday. Small injection bumps, mild redness, and a slight headache are all completely normal right now. Keep the treated areas touch-free today, avoid exercise and alcohol, and try not to lie down for the rest of today. Full results take 10–14 days — nothing to judge yet! Any concerns? Reply here or call [phone]. 😊"

SMS version: "Hi [Name], checking in after your Botox. Bumps, redness, mild headache = normal. No exercise/alcohol today, stay upright. Results take 10–14 days. Questions? [phone]"

Lip Filler (24-hour)

"Hi [Name] 💛 Checking in on your lip filler from [Clinic Name]! Day 1 swelling is totally normal — lips look biggest today and will settle a lot over the next few days. Keep your head elevated, cold compresses help for comfort, avoid alcohol and vigorous exercise today. This is NOT your final result — don't worry! Any concerns? Reply or call [phone]. 😊"

SMS version: "Hi [Name], day 1 lip filler check-in. Max swelling today = normal. Head elevated, avoid alcohol/exercise. NOT final result — settles over 1-2 weeks. Questions? [phone]"

Microneedling (24-hour)

"Hi [Name] 👋 Just checking in after your microneedling at [Clinic Name] yesterday! Redness and a warm, sunburn-like feeling are completely normal for the next 24–48 hours. Skincare today: gentle cleanser and plain moisturiser only — no retinol, vitamin C, or actives. SPF tomorrow morning is essential! Any questions? Reply here or call [phone]. 😊"

Chemical Peel (24-hour)

"Hi [Name] 👋 Checking in after your [peel type] at [Clinic Name]! Skin feeling tight and looking pink is completely normal. Keep it well moisturised with [recommended product] and apply SPF before going outside. No actives (retinol, acids, vitamin C) until we clear you. Laser Hair Removal (24-hour)

Dermal Fillers (non-lip, 24-hour)

48-Hour Post-Treatment Messages

Send approximately 48 hours after treatment. Goal: confirm improvement is on track, clear any remaining day-2 questions, signal what to expect next.

Botox (48-hour)

"Hi [Name], hope you're feeling good after your Botox! Any swelling or redness should be settling by now. You can return to all normal activities today — gym, makeup, everything. The first effects typically appear over the next few days, with full results at day 14. Let us know if anything concerns you. We're here! 😊"

Lip Filler (48-hour)

"Hi [Name], hope the swelling is easing nicely! You should see a real improvement compared to yesterday. Bruising (if you have it) is normal and will resolve by days 7–10. From today: light exercise is fine, cream lipstick is OK, and most normal activities are back. Avoid very hot drinks for one more day. Reply any time if you have questions! 💛"

Microneedling (48-hour)

"Hi [Name] — the redness from your microneedling should be calming down by now. You can start reintroducing your normal (gentle) skincare from today — but no retinol or AHAs for one more week. Makeup is fine from today if needed. SPF every morning is your top priority this week. Starting to see that glow? 🌟 Let us know if you need anything!"

Chemical Peel (48-hour)

"Hi [Name] — peeling may be starting soon if it hasn't already! This is the process working — let the skin shed naturally, please don't help it along. Keep moisturising generously and SPF every day. Avoid exercise that causes heavy sweating and saunas for a couple more days. If you see any signs of infection (warmth, pus, spreading redness) contact us straight away. Otherwise, you're right on track! 😊"

Laser Hair Removal (48-hour)

"Hi [Name] — the redness and sensitivity should be settling now. You can resume exercise and normal activities today. SPF on treated areas remains really important for the next 4 weeks — it protects your results and prevents pigmentation. Hair shedding will start over the next 1–3 weeks — that's the treatment working. Don't wax it; shaving is fine. Your next session is in [4–6] weeks — ready to book?"

7-Day / 2-Week Post-Treatment Messages

Send 7–14 days after treatment. Goal: confirm recovery complete, invite a Google review, offer rebooking.

Botox (7-day)

"Hi [Name] — it's been a week since your Botox at [Clinic Name]! The full effect should be visible by now (or just a couple more days). If you're happy with how it's looking, we'd love a quick Google review — it really helps our clinic: [Google review link]. Your next top-up is typically in 3–4 months — happy to book that whenever you're ready. Any questions? Just reply! 😊"

Lip Filler (2-week)

"Hi [Name] 💛 — it's been 2 weeks since your lip filler at [Clinic Name]! Your result should be fully settled now. If you're happy, a quick Google review would mean so much to us: [Google review link]. If you have any concerns about symmetry or volume, reply and we'll arrange a quick 2-week review. Microneedling (7-day)

"Hi [Name] — a week post-microneedling at [Clinic Name]! You should be seeing the initial brightening and smoothing now, with more improvement over the next 4–6 weeks. You can now resume retinol. Chemical Peel (7-day)
